This policy explains what personal information Shield Pest Management collects through this website, why we collect it, how long we keep it and what rights you have over it.

Information you give us

When you complete an enquiry form on this website we ask for some or all of the following, depending on the form:

• your name and the company you work for;
• your email address and telephone number;
• the postcode or location of the premises, the type of premises and the number of sites;
• the pest problem, the audit standard you work to, your next audit date and how urgent the issue is;
• anything else you choose to tell us in the message field.

If you complete the pest control audit readiness checklist and choose to have your results emailed to you, we also receive the answers you gave, your overall score and the gap list the checklist produced. The checklist itself runs in your browser; nothing is sent to us unless you submit the form.

Information we collect automatically

Our web server and security systems keep standard technical records of visits, such as the IP address the request came from, the pages requested, the date and time, and the browser used. These records are used to keep the site running securely and to investigate problems and abuse.

We use a small number of cookies. These are explained in our cookie policy.

How we use your information, and our lawful basis

We do not sell your information, and we do not use it for automated decision making or profiling.

Who we share it with

Enquiries submitted through this website are emailed to Shield and to the agency that maintains the website on our behalf. Beyond that, your information may be handled by:

• our website hosting provider, which stores the site and its form entries;
• our email provider, which carries the messages;
• our pest management software provider, where you become a client and your site records are kept in the client portal;
• professional advisers, insurers or authorities, where we are required to share information by law.

Each of these acts on our instructions and is required to keep your information secure. The contact page shows a Google map; if you interact with it, Google may receive information about that. See our cookie policy.

How long we keep it

• Enquiries that do not become work: normally kept for up to two years, so we can pick up the conversation if you come back to us.
• Client records: kept for the life of the contract and then for as long as we may need them for audit, insurance, legal or tax purposes, normally at least six years.
• Website security logs: kept for a short period, normally no more than twelve months.

Where your information is held

Our website and email are hosted in the United Kingdom or the European Economic Area. Where a supplier stores or accesses information outside the UK, we require appropriate safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

Keeping it secure

The site runs over an encrypted connection. Access to enquiry records and client files is limited to the people who need it, and our systems are kept up to date. No website can be guaranteed completely secure, so please do not send sensitive personal information through a website form.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you;
• have inaccurate information corrected;
• ask us to delete information where there is no good reason for us to keep it;
• object to, or ask us to restrict, how we use it;
• ask us to transfer it to another organisation, where that applies;
• withdraw consent at any time, where consent is the basis we rely on.

Complaints

If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority, at ico.org.uk or on 0303 123 1113.

We review this policy from time to time. Any changes will appear on this page with a new date at the top.
